What is a guest invitation
A guest invitation to Poland is issued by the voivode and entered in the register of invitations. It is most often used for a visa application: the person applying abroad includes the invitation in the visa documents to confirm that the stay is secured by the inviting party in Poland.
The invitation states who is inviting the foreigner, the intended period of stay, the accommodation address and who will cover the costs of the stay. The visa is applied for separately through a consulate or visa application centre.
An invitation does not grant the right to work in Poland. Employment requires separate documents or another lawful basis.
How to arrange a guest invitation?
For a visa application, the invited person includes the original invitation entered in the register with the required documents. The invitation may be issued by a relative, friend or another eligible party in Poland. The visa type, validity period and permitted length of stay are determined by the consulate based on the purpose of travel and the submitted documents.
What types of invitations to Poland are available?
Official invitation registered by the voivode
It is processed through the urząd wojewódzki and entered in the register of invitations. It confirms that the inviting party provides accommodation and sufficient funds for the stay and return journey. It may support a visa application, but it does not guarantee that a visa will be issued and does not grant the right to work.
Private written invitation
It is written by a person living in Poland, such as a relative, friend or partner. The letter includes the inviter’s details, the guest’s details, the accommodation address, travel dates and contact details. For Belarusian citizens applying for the purpose of odwiedziny the principal document is the original invitation registered with the voivodeship office. A simple letter should therefore not be treated as a universal substitute for an invitation registered by the voivode.
Business invitation from a Polish company
This is a letter from a Polish company, business partner or the organiser of a meeting, exhibition, conference or negotiations. It states the company details, purpose and dates of the trip, contact information and the applicant’s relationship with the inviting organisation.
Zaproszenie wpisane do ewidencji zaproszeń
It is issued by the voivode competent for the inviter’s place of residence and is used as part of a visa application.
Pisemne zaproszenie od osoby prywatnej
It confirms the purpose of travel and the applicant’s connection with a person in Poland. It is not suitable for every visa application.
Zaproszenie biznesowe
It is used for a business trip, such as a meeting, negotiations or a visit to a partner or client in Poland.
Who can issue an invitation
The invitation is issued by a party in Poland. This may be a Polish citizen, a foreigner with an eligible residence status, a company or an organisation.
Polish citizen
A Polish citizen may invite a foreigner if they live in Poland and provide evidence of accommodation and sufficient funds.
Citizen of the EU, EFTA, Switzerland or the UK
This person may qualify if they hold a right of residence or permanent residence in Poland.
Foreigner after 5 years in Poland
A foreigner may act as the inviter after at least 5 years of lawful and continuous residence in Poland.
Foreigner with permanent residence
A permanent residence permit allows its holder to issue an invitation for another person.
EU long-term resident

Company or organisation
A Polish company, foundation, association or another organisation may invite a person to Poland.
Who can be invited to Poland
The relationship affects the calculation of required funds. A lower monthly amount applies to a close relative of the invited person. The standard calculation applies to a friend, acquaintance or business guest.
Financial requirements for a guest invitation
The office checks whether the inviting party can cover the foreigner’s expenses in Poland. The calculation includes accommodation, daily living costs and the return journey. When funds are shown in a bank account, the balance must cover the entire invitation period.
Base amount: 515 zł per month for the inviting party, every person dependent on them and each invited foreigner. For a close relative of the invited person, the applicable amount is 200 zł per month.
Additional funds are required for the return journey: 200 zł for a countrybordering Poland, 500 zł for another European country and 2,500 zł for other countries. A return ticket may satisfy this requirement.
The office also checks the accommodation document: proof of ownership, księga wieczysta, a tenancy agreement, the owner’s consent or hotel confirmation bearing a stamp and signature. A reservation from Booking.com is not accepted.
What documents are required for a guest invitation
Below is a basic list of documents required for a guest invitation. Additional documents may be necessary depending on the circumstances of the case.
Application form
Wniosek o wpisanie zaproszenia do ewidencji zaproszeń. The form is completed in Polish using the details of the inviting party and the invited person.
Inviter’s identity and status document
Dowód osobisty, passport, karta pobytu or another document confirming the inviter’s identity and status in Poland.
Proof of funds
A bank statement, salary certificate, pension statement or another document showing that sufficient funds are available for the invitation period.
Proof of accommodation
Proof of ownership, a tenancy agreement, the property owner’s consent or hotel confirmation bearing a stamp and signature.
Fee of 27 zł
Proof of payment of the administrative fee for entering the invitation in the register.
Power of attorney
Required when the application is submitted by a representative or when the representative will collect the completed invitation.
How and where to submit a guest invitation application?
In Warsaw, the application is submitted to Mazowiecki Urząd Wojewódzki after booking an appointment through e-Usługi. To book an appointment, sign in with Profil Zaufany.
If the inviting party does not yet have a Profil Zaufany, it must first be created and confirmed. When you use our service, we handle the preparation and appointment booking.
Bring the original documents to the appointment. The office verifies the application, payment, funds and accommodation. If the documents are complete, the invitation may be issued on the appointment day.
How long does a guest invitation take
In Warsaw, the application is submitted to Mazowiecki Urząd Wojewódzki after booking an appointment through e-Usługi. To book an appointment, sign in with Profil Zaufany.
If the inviting party does not yet have a Profil Zaufany, it must first be created and confirmed. When you use our service, we handle the preparation and appointment booking, so you do not need to create the profile independently.

What to do after receiving the invitation
The completed invitation is sent to the person who will apply for the visa. They then prepare the visa documents in the country of application, including the passport, application form, photograph, insurance, invitation and any other documents required by the consulate or visa application centre.
The invitation helps demonstrate the purpose of travel and that the stay in Poland is financially secured. The consulate makes the visa decision.
