Accounting Services in Poland: One Accountant Is Responsible for Your Company
Once the agreement is signed, a specific accountant is assigned to your company. They know your business structure, tax regime, employees, recurring expenses and repeat transactions. Every new document and question is reviewed in the context of your company’s history.
Your lead accountant keeps the books, controls the settlement calendar and coordinates tasks within SKILLDOCS. An HR and payroll specialist handles employee and payroll matters, while another specialist joins when a separate area of expertise is required. Only team members involved in servicing your company have access to its documents.
You always know who to send a document to, who can clarify a calculation and who is responsible for closing the month. Information about your company and its documents is handled confidentially both during the cooperation and after it ends.
Accounting in Poland Set Up Around Your Business
We start accounting services by understanding your business model: what the company sells, who it invoices, which bank accounts and payment systems it uses to receive money, where expenses arise, and whether there are employees, inventory, a cash register, marketplaces or cross-border transactions.
At the start, the accountant determines which documents your particular business generates and how they should enter the accounting records. For one client, the core may be a few B2B invoices and a bank statement. For another, it may be hundreds of sales, returns, marketplace commissions, inventory movements and foreign-currency receipts.
Once the process is set up, you have a clear monthly routine: which documents to submit, where to upload them, by what date, and which events should be reported immediately. Full-service accounting becomes part of the company’s workflow, and the owner knows in advance which data is needed for settlements and when the final amounts will be available.
Extended Liability Insurance for Our Accounting Office
SKILLDOCS insurance protection is not limited to the mandatory professional liability insurance (OC) for an accounting office. Separate additional limits are provided: 100 000 PLN for accounting services, 50 000 PLN for HR and payroll services together with ZUS, and 50 000 PLN for simplified accounting together with VAT.
The cover is also extended to damage involving documents and the actions of engaged specialists. We provide a copy of the current insurance policy to clients on request.
Accounting
Mandatory professional liability insurance plus separate additional cover. The policy includes risks related to damage involving documents and the actions of engaged specialists.
HR, Payroll and ZUS
A separate liability limit applies to HR and payroll services and settlements related to ZUS.
Simplified Accounting and VAT
Separate cover for simplified tax records, VAT settlements and related accounting documents.

Experience helps us quickly determine which document supports a transaction and what data is required for correct accounting.

How to Choose an Accounting Office in Warsaw
To choose a reliable accounting office in Warsaw, comparing prices and reviews is not enough. Before signing an agreement, check seven things: a valid professional liability insurance policy and what it covers, experience with your business structure, understanding of the specifics of your industry, the actual working process in KSeF 2.0, whether there is a responsible accountant, a clear pricing method and rules for correcting possible errors.
A good accounting office should be able to explain all of this before you hand over your accounting database, access credentials and company documents.
What Is Included in Accounting Services and How the Month Works
For JDG we record income and expenses, calculate income tax and ZUS contributions, handle VAT settlements where the business is VAT-registered, and prepare mandatory declarations and electronic tax reporting. After the year ends, we prepare the annual income tax return.
When HR and payroll services are included, information about employees, contractors and payments is immediately reflected in the company’s monthly settlements.
How the Monthly Accounting Cycle Works
The complete set of documents for the previous month should be submitted by the 7th. The accountant checks that the required information is present, records the documents and calculates taxes and contributions.
When documents are submitted on time, the amounts due for taxes and ZUS are sent no later than two days before the payment deadline. You receive the exact amounts, payment details and due dates.
If additional information is needed for a calculation, the accountant specifies which transaction the question concerns, which document is required and in what form it should be provided.
Free Consultations for Our Clients
Monthly service includes explanations concerning current calculations, documents, deadlines and the document submission process at no additional charge. The accountant explains how the tax or ZUS amount was calculated, which document is required for a transaction and what you need to do after receiving the calculation.
Tax and legal opinions, analysis of planned transactions, reconstruction of accounting records and corrections of previous periods are treated as separate assignments. The scope and price are agreed before work begins.
Cost of Accounting Services in Poland: How the Price Is Calculated
The base monthly price for up to 10 documents is:
300 PLN net for JDG without VAT;
400 PLN net for JDG with VAT.
HR and payroll service — 50 PLN net per employee.
The exact pricing is easiest to understand from the examples below:
JDG without VAT, 8 documents, no employees
300 PLN net per month.
JDG with VAT, 18 documents and one employee
500 PLN for accounting + 50 PLN for HR/payroll = 550 PLN net per month.
KSeF in 2026: What JDG Needs to Set Up
Receiving invoices through KSeF became mandatory on 1 February 2026. The obligation to issue structured invoices was introduced in stages: from 1 February 2026 for companies whose 2024 sales including VAT exceeded PLN 200 million, and from 1 April 2026 for other entrepreneurs and companies.
Until 31 December 2026, an exception applies to entrepreneurs whose monthly sales documented by invoices subject to KSeF do not exceed PLN 10,000 gross. In such a month, invoices may be issued outside KSeF.
A JDG can access KSeF using Profil Zaufany or a qualified electronic signature.
We help configure access, grant the accounting team the necessary permissions, organise the receipt of incoming invoices and define how electronic documents enter the accounting workflow. For e-commerce businesses and companies with a high document volume, KSeF is integrated into the wider process for sales, payments and accounting control.
Russian-Speaking Accountant in Warsaw and Online Across Poland
Many of our clients are entrepreneurs and company directors from Ukraine, Belarus and other countries. Day-to-day matters can be discussed in Russian, Ukrainian, Polish or English.
The accountant explains a Polish document in terms of specific actions: who needs to sign it, by what date it must be submitted and how it affects the settlement. Documents and reports for Polish public authorities are prepared in the required Polish format, while the client receives an explanation in a convenient language.
Our office is in Warsaw. Accounting services are also available online in every city in Poland. Documents are submitted electronically, day-to-day matters are handled remotely, and office visits can be arranged in advance.
HR and Payroll in the Same Team as Accounting
HR and payroll matters are handled by dedicated specialists on our team. They prepare employee and contractor documents, calculate payments and provide the data required for ZUS and accounting.
Information about hiring an employee, changes to employment terms, sick leave, holiday or contract termination is immediately reflected in both HR/payroll and accounting calculations. The business owner only needs to provide the information to one team.
How to Change Your Accountant in Poland
You can start changing accounting offices at any time, but the end date of the current service depends on the terms of the existing agreement and its notice period. There is no need to wait until the end of the year. There is no single transition period: it depends on the agreement, the volume of accounting records and how quickly the documents are transferred.
First, we define the responsibility cut-off: which month will be closed by the previous accounting office and from which month our firm will take over the books. You then receive one consolidated list of documents, accounting data and access credentials to be transferred.
For JDG we request current accounting registers, filed declarations with submission confirmations, tax and ZUS calculations, bank statements, the fixed-asset register and employee documents.
We coordinate the handover with the previous accountant, check that the materials received are complete and identify any data that must be obtained before the first month-end closing. We then set the start date for regular accounting services.
Reviewing previous periods, reconstructing the accounting database and preparing corrections are priced as separate assignments.
Accountant Change Process
- Choose a new accounting office and agree the date from which it will take over the books and who will close the current month.
- Terminate the existing agreement in writing in accordance with the notice period stated in it.
- Obtain the documents and data: an export of the accounting database, declarations, JPK files, VAT registers, ZUS calculations, the fixed-asset register, HR documents and confirmations that reports were submitted.
- Revoke the previous office’s authorisations and grant the new access rights to KSeF, the tax system and eZUS.
- Update the relevant records if the person or location responsible for accounting has changed: for JDG, in CEIDG.
Before starting work, the new accounting office should check that the documents are complete, previous periods have been closed and opening balances are correct. A full audit of the previous accounting and correction of errors is usually agreed separately.
We organise the transition from your previous accountant: we prepare the list of required documents and access rights, receive the accounting database and continue the service from the agreed date. We provide accounting for JDG in Warsaw and online throughout Poland.
